Booking Terms & Conditions

DIRECT BOOKINGS: 

Payment:

• Our rates are quoted and payable in ZAR (South African Rands).
• Rates are quoted inclusive of 15% VAT.
• Direct transfers into our bank account are the preferred method of payment. 
• All payments to be made in full and free of any bank charges. 
• A 3.7% surcharge (on the total invoice) will be levied on all payments made via credit card. 
• Visa and MasterCard payments are accepted at the Lodge. No Amex or Diners cards accepted. 
• Please note that HillsNek Safari Camp is a cashless lodge and does not accept cash for accommodation or purchases from our Curio store. Guests are still welcome to tip our staff in cash by using envelopes provided for the tip box. Thank you for your understanding. 

Deposit Policy:

• A 50% deposit is required within 7 days of confirming the reservation. HillsNek reserves the right to cancel the reservation should we not receive the deposit within 7 days. 
• The balance of payment is required 60 days prior to arrival. 
• Reservations made within 60 days of travel must be paid in full immediately. 
• Reservations made at short notice must be confirmed by full payment within 48 hours. 

Cancellation Policy:

• We advise that all travellers purchase travel insurance that provides full cancellation cover.
• Cancellation or part cancellation (reduction in the number of rooms or nights) of a confirmed reservation, including changing the dates of travel, will result in a cancellation fee of 10% of the invoice total if cancelled 9 months or more before arrival.
• Cancellation or part cancellation (reduction in the number of rooms or nights) of a confirmed reservation, including changing the dates of travel, will result in a cancellation fee of 20% of the invoice total if cancelled less than 9 months before arrival.
• 100% cancellation fee will be applicable for a booking cancelled within 60 days prior to arrival.HillsNek reserves the right to cancel reservations should full payment not be received within 60 days prior to arrival.
• We reserve the right to not refund card fees (transaction costs) in the case of any cancellation or situation where funds need to be reversed back to a credit card.
• The cardholder & ID/Passport must be present at check-in.
• The credit card used for the online payment must be present at check-in.

SINGLE ROOM POLICY 

• A guest occupying a safari tent on their own, will be levied a supplement of an additional 50% of the per person sharing rate from date of arrival. During peak season, the full room rate applies.

CHILD POLICY AND RATE

• Children 9 years and older are welcome.
• Children 9 - 11 years sharing a tent with two parents, pay 50% of the adult rate.
• Children 12 and older sharing a tent with two parents, pay full adult rate.
• Children 12 and older in their own tent, pay full adult rate.
• If the entire camp is booked by one group/family, children of all ages are welcome. Game drive will however be tailored at the discretion of the guide.

ROAD TRANSFERS 

• Transfers to/from Port Elizabeth airport are available on a request basis. Cost is dependent on the pick-up point and the number of guests. Please contact reservations for a quote.

Need To Know 

ARRIVAL/DEPARTURE 

• Guests should arrive at HillsNek Safaris car park between 13h00 – 13h30 for the scheduled transfer to the lodge
• Departure time from the lodge is scheduled for 11h00
• Early arrivals and late departures need to be pre-arranged and could attract an additional fee

WHAT TO PACK 

• Comfortable walking shoes
• Sun hat, sunglasses & sun block
• Cameras & binoculars
• Light, neutral colour clothing & bathing suit
• Warm clothing is essential in winter (May to September) 

NON-SMOKING POLICY 

• In the interest of health and safety, the lodge observes a strict non-smoking policy. Smoking is not allowed in the tents, main lodge or on game drives. It is only permitted in designated outdoor smoking areas at the main lodge, and during drinks breaks on game drives.

MALARIA 

• As we are in a non-malarial area, anti-malaria precautions are not needed.

Directions 

ARRIVING BY AIR 

• Our closest airport is Port Elizabeth/ Gqeberha Airport. 
• We can easily arrange airport transfers if needed at an additional cost.

ARRIVING BY ROAD 

• The lodge is located 70km/45 minutes’ drive from Port Elizabeth/Gqeberha on the N2 North to Grahamstown/Makhanda
• Driving Times: Allow for approximately 1 hour drive from Port Elizabeth/Gqeberha airport to the lodge parking area.
• Follow the N2 From Port Elizabeth/Gqeberha to Grahamstown/Makhanda
• Watch as the N2 branches off to the left – if you continue straight you will be on the N10. Be sure to stay on the N2 towards Grahamstown/Makhanda
• Continue approximately 25km on the N2 from this freeway split to Woodbury Lodge turn off
• Once you pass the Paterson/Shamwari Signboard you have 10km to go. Look for signage to Woodbury Lodge
• Take the right exit under a thatched roof to Woodbury gate.
• You will approach a large gate – press the remote / button to enter.
• Continue 1.8km on the gravel road, following the signs to HillsNek Safaris parking
• As you approach the Conservation Centre you will see a sign that reads “HillsNek Parking”. Your ranger will be there to welcome you.
• **Please note there are NO signs on the N2 for HillsNek Safari Camp – follow Woodbury signage** 
• **Please do not use GPS/Maps on devices, as these will take you to an incorrect location**
